Privacy Notice
This notice explains how Sort My Digital Life (“we”, “us”, “our”) handles personal information when you visit our website or contact us. We take the privacy of your information seriously — it is, after all, the heart of what we do.
1. Who we are
Sort My Digital Life is the data controller responsible for any personal information you send us. We provide digital life organisation and legacy support services in the Exeter and Bath areas.
Contact: info@sortmydigitallife.co.uk
2. The information we collect
Our website does not collect personal information from you. There is no contact form, no account sign-up, and no tracking that identifies you.
The only personal information we hold is what you choose to send us directly:
- Enquiry information — if you email us, we will hold your email address and the contents of your message so that we can reply and, if you wish, arrange a conversation.
- Client information — if you go on to become a client, we will agree separately with you what further information is needed to provide our services.
Importantly, we never collect, record, or store your passwords, PINs, financial account numbers, or other sensitive access credentials. Our service is designed so that you always enter and retain these yourself.
3. How we use your information, and our lawful basis
Under UK data protection law we must have a lawful basis for using your personal information. We rely on the following:
- To respond to your enquiry — where you email us, our lawful basis is our legitimate interest in responding to people who contact us.
- To provide our services if you become a client — our lawful basis is the performance of our agreement with you.
- To meet our legal obligations, such as keeping basic records — our lawful basis is legal obligation.
We will never use your information for automated decision-making or profiling, and we will never sell or rent your information to anyone.
4. How we share your information
We do not sell or share your personal information. The only circumstances in which it may be shared are:
- Our website host (Netlify) — our website is hosted by Netlify, whose servers deliver the site to your browser. Netlify does not receive any information you send us by email.
- Email — when you email us, your message is handled by our email provider in the ordinary way that email works.
- Professional and legal requirements — we may disclose information if required to do so by law, or to professional advisers where strictly necessary.
5. How long we keep your information
We keep enquiry emails only for as long as needed to respond to you and for a reasonable period afterwards in case you get back in touch. If you do not become a client, we will not keep your enquiry indefinitely.
6. How we protect your information
We use appropriate measures to keep any information you send us secure, including secure devices and careful handling. We never write down your passwords or credentials.
7. Cookies and our website
Our website does not use tracking cookies, advertising cookies, or analytics that identify you. We do not run Google Analytics, advertising pixels, or similar tracking tools.
When you visit, your browser shares your IP address with our website host (Netlify) as a normal part of delivering the page to you. We do not use this information to identify or track you, and we do not load fonts, scripts, or other content from third parties such as Google. If we add any non-essential cookies in future, we will ask for your consent first by means of a cookie banner.
8. Your rights
Under UK data protection law you have a number of rights over your personal information. These include the right to:
- ask for a copy of the information we hold about you;
- ask us to correct information that is inaccurate or incomplete;
- ask us to delete your information, where there is no good reason for us to keep it;
- object to, or ask us to restrict, our use of your information.
To exercise any of these rights, please contact us using the email address in section 1. We will respond within one month.
9. Complaints
If you have any concern about how we handle your personal information, please tell us first using the email address above and we will acknowledge your complaint within 30 days and do our best to put things right.
You also have the right to complain to the Information Commissioner’s Office (ICO), the UK regulator for data protection. You can contact the ICO at ico.org.uk or by calling their helpline on 0303 123 1113.
10. Changes to this notice
We may update this notice from time to time. The date at the top shows when it was last revised. We encourage you to review it occasionally.
